This article provides best practices for specifying data—email addresses, phone numbers, and variable information—in CSV/Excel files for generating and sending tickets using Ticket Generator.
A. Introduction
This guide is relevant for those with a guest list containing names and email IDs, and who need unique information on each ticket. Ticket Generator allows data upload for ticket generation via a CSV/MS Excel file or by entering data directly into a data table.
B. Creating the Data File
Create a new spreadsheet (CSV or MS Excel) using editors such as Google Sheets, MS Excel, Numbers, or LibreOffice Calc. Alternatively, download and use the sample sheet from the website, which is already in the correct format, and modify it. Using the sample sheet ensures compatibility and error-free data preparation.
B.1. Data File Structure
- Column A: Email addresses of ticket recipients, one per row. Ensure the column header is the Email ID
- Column B (Optional): Phone numbers for sending tickets via SMS or WhatsApp. Ensure the column header is Phone Number
- Columns C-G (Optional): Unique information for each ticket, such as seat number, row number, section, ticket price, and hall/auditorium
B.2. Character Limits for Data Columns
Ensure the total number of characters across Columns C-G does not exceed 70 characters for clear and visible ticket printing:
- 1 Column: 1-70 characters
- 2 Columns: 1-32 characters each
- 3 Columns: 1-19 characters each
- 4 Columns: 1-13 characters each
- 5 Columns: 1-10 characters each
B.3. Sample CSV Files
Below are two sample CSV files for different delivery methods that can be used as a reference to upload error-free data :
-
Generate and Send
- Without Variable Information: sample-sheet-email-sms-whatsApp.xlsx
- With Variable Information: sample-sheet-email-sms-whatsApp-with variable information.xlsx
-
Generate and Download
- Without Variable Information: The tickets can be directly downloaded as images or sheets
- With Variable Information: sample-sheet-download.xlsx
C. Steps for Uploading Data File
- Login to Ticket Generator
- Choose from an existing event or Create New Event

- Upload the CSV/Excel file. The data will be available for review and modification in the data table
- Review and modify the Email Content and SMS/Whatsapp Content fields and click on Save & Close
- Click on Generate & Send/Generate & Download to send/download the tickets
Notes:
- Either an email or a phone number must be provided on the data file
- Always check the ticket preview before finalizing the data to ensure accuracy and clarity
