This article provides information about the Box Office feature in Ticket Generator — how to set up physical sales counters, assign agents, and track on-site ticket sales for an event. This is useful for event organizers who want to manage in-person ticket sales at the venue.
Box Office is an in-person sales management tool available inside each event. It allows organizers to set up physical sales counters, assign staff to those counters, and track ticket sales and revenue per counter. Actual payment processing — cash or card — happens offline. Box Office is purely a record-keeping and access-control layer around that offline activity. On-site selling and ticket scanning is done through the companion Ticket Validator app.
A. Accessing the Box Office
Box Office is not a standalone menu item. It is a tab inside each individual event's workspace.
- To access it: Manage Events → select the event → Box Office
- Once inside the event, Box Office is the fifth tab in the row: Event Details, Ticket Design, Event Page, Guest Tickets, Box Office, Analytics.
Box Office is available for all events regardless of status (Scheduled or Live). The only prerequisite is that the event must already have at least one ticket category configured, as the setup wizard requires ticket categories to set limits and map customer data.
B. Creating a Box Office
On the Box Office tab, click Create Box Office to launch a three-step setup wizard.
Step 1 — Create Box Office
- Enter a name for the counter (default: Counter 1, up to 30 characters)
- Optionally tick Specify Location to add a location label (up to 50 characters, e.g. Main Entrance)
- Click + Add Box Office to define additional counters for the same event in one pass; each counter can be independently named and deleted
- A Total Box Offices counter in the side panel updates as counters are added or removed
Click Next: Box Office Settings to proceed.
Step 2 — Box Office Settings
This step has four sub-sections:
- Ticket Limit: Set the maximum number of tickets this box office may sell per ticket category. A running Total Allocation updates automatically as limits are entered.
- Customer Details Fields: Customize the intake form agents fill out for walk-up buyers. Default fields are First Name, Last Name, and Email Address. Each field has an input type, a required toggle, reorder controls, and a delete icon. Additional custom fields or a phone number field can be added.
- Variable Information Mapping: Map the customer detail fields onto the ticket output per ticket category. For each ticket category, both the Name and Email ID fields must be assigned a value from the dropdown before the Save & Continue button becomes active. This is a required step and a common point of confusion — the button remains disabled until both mappings are set.
- Payments & Refunds: Select which payment methods agents may record: Cash Payments, Card Payments, or both. Optionally enable the Refund Policy toggle to allow agents to mark a sale as refunded at the counter. Enabling this also deactivates the corresponding ticket. Note: Ticket Generator does not process payments or refunds — all money handling happens offline.
Click Save & Continue to proceed.
Step 3 — Agents
The account owner is automatically listed as a Super Admin with full access to sales, ticket validation, and settings, and is assigned to all counters by default.
To add staff:
- Click + Add Agent
- Enter the agent's email address
- Assign them to a specific counter
- Choose a permission level — Sales Only or Sales & Entry Validation
Click Save to complete setup, or Skip to add agents later.
A Box Office Created Successfully confirmation screen appears with a prompt to download the Ticket Validator app — available on the App Store, Google Play, or at validate.ticket-generator.com. Agents use this app to sell and scan tickets on-site.
C. Managing Box Office
After setup, the Box Office tab shows two sub-tabs: Overview and Transaction.
Overview
The Overview tab displays:
- A master Active/Inactive toggle for the entire Box Office feature
- A table of all counters with Status, Name, Agents, Tickets Sold, and Revenue columns
- An Add Box Office button to create additional counters at any time
- A three-dots (…) menu on each counter row with options to Edit, Assign Agent, Deactivate, or Delete that counter
- A Box Office Statistics card showing Total Revenue and Total Tickets Sold, with a View Analytics link
- A Box Office Agents card showing the total agent count with an Add Agents shortcut
- A Settings Overview card summarizing Ticket Limit, Payment Methods, and Refund Policy, with an edit shortcut back into the settings wizard
Transaction
The Transaction tab is a log of all individual sales. It includes:
- A search bar to find transactions by guest name, email, or phone
- A Filter dropdown and Refresh button
- An Export Box Office Data button to download the full sales log
- A results table showing Guest Details, Ticket Category, Time, Box Office, Agent, and Amount for every transaction
D. On-Site Sales and Ticket Scanning
All point-of-sale activity — recording sales and scanning tickets — takes place in the Ticket Validator app, not inside the Box Office dashboard. The Box Office feature is the configuration and management layer; Ticket Validator is the tool agents use on the ground.
